Team Assistant Legal Department Munich Campeon

Job Description

  • Handle details of a highly confidential and critical nature with the required discretion
  • Perform various administrative and/or project-related duties in support of both, the manager and the team the tasks are typically a mixture of complex and routine tasks, diversified in nature
  • Manage calendar for manager and team for more complex meetings, where required
  • Schedule and coordinate logistics for requested meetings
  • Collect agenda points and take meeting minutes in team meetings
  • Serve as first level support for general questions about policies and procedures e.g. route requests to the right attorney explain where to find the CNDA data base and how the CNDA process works point to links of legal-self-help websites etc.
  • Be responsible for the invoicing process setting up Purchase Orders, eCheck Requests etc., in particular verify and process invoices of external law firms
  • Team with and give guidance to an intern who provides certain admin support
  • Support the contract signature process where necessary and be responsible for the diligent maintenance of the contract archive
  • Support the team with questions related to travel arrangements and travel expense reports
  • Maintain and order office supplies:
  • Assists in organization of team events.

Voraussetzungen

Qualifications


  • Experience in an administrative/supporting role, preferably in a legal environment
  • Experience with administrative tasks and tools
  • Diligent and detail-oriented work style also under pressure
  • Proficient computer skills and knowledge of Microsoft Office programs such as SharePoint, Access, Excel, Word, and Outlook
  • Written and verbal English and German skills fluently
  • Problem solving and creative resolution skills
  • Strong verbal and written communication skills and an ability to handle multiple priorities
  • Strong sense of service orientation
  • Ability to work proactively and independently as well as with a team
  • Professional, confident demeanor
  • Positive attitude, excellent communication and interpersonal skills
  • Flexibility to support urgent requests in exceptional cases at US time zone friendly hours.
